Terms of Service
Effective date: as published in the AI CV Scanner application.
These Terms of Service (“Terms”) govern access to and use of AI CV Scanner (the “Service”) by the company or organization that registers an account (“Customer,” “you”).
By registering, accessing, or using the Service, you agree to these Terms on behalf of your organization.
1. ACCOUNT REGISTRATION
1.1 You must provide a valid business email address, a password, and your company name.
1.2 You represent that you have authority to bind your organization to these Terms.
1.3 You are responsible for safeguarding credentials and for all activity under your account.
2. TRIAL SYSTEM
2.1 Each new account receives ten (10) free CV processing events (“Trial CVs”) without providing payment card details.
2.2 Trial CVs do not expire with time. The Trial is exhausted when ten CVs have been processed under the account according to the Service’s accounting rules.
2.3 After Trial CVs are exhausted, you must purchase credits to continue uploading and ranking additional CVs.
3. CREDIT SYSTEM
3.1 Plan A (Starter): €50 for 100 credits.
3.2 Plan B (Professional): €300 for 1000 credits.
3.3 Credits expire twelve (12) months from the date of purchase unless otherwise stated at checkout.
3.4 Credits are non-refundable except where these Terms expressly provide for refund on deletion events.
3.5 If you delete a job posting before certain CVs are fully processed, the Service may refund credits for unused unprocessed CV events in accordance with the product logic described in documentation (including refund caps tied to what was actually charged to credits).
3.6 Credits are non-transferable between accounts except where required by law.
4. YOUR DATA AND GDPR RESPONSIBILITY
4.1 For candidate Personal Data contained in CVs, the Customer is the data controller and AI CV Scanner acts as a processor under Article 28 GDPR.
4.2 The Customer confirms it has a lawful basis for processing candidate data, including where it relies on legitimate interests under Article 6(1)(f) GDPR for recruitment purposes, where applicable.
4.3 The Customer is responsible for privacy notices to candidates, records of processing, and handling data subject requests as controller.
4.4 AI CV Scanner will assist the Customer as described in the Data Processing Agreement (DPA).
5. CV DATA STORAGE
5.1 Raw CV files may be stored only as long as necessary to perform extraction and ranking, and are automatically deleted after ranking completes in ordinary operation.
5.2 Metadata (such as filename, status, score, and reasoning) may be retained to operate the dashboard until deleted by the Customer or through account deletion processes.
6. ONE-CLICK DELETION
Deleting a job posting triggers deletion workflows intended to remove associated CV records and encrypted files for that job, as implemented in the Service.
7. NO AUTOMATED EXCLUSION
7.1 Ranking outputs are for prioritization and ordering in the user interface.
7.2 All uploaded CVs remain visible to authorized Customer users; the Service does not hide or filter out candidates based solely on automated scores.
8. ACCOUNT DELETION
Upon account deletion, AI CV Scanner will execute complete erasure procedures for Customer tenant data within the Service, within thirty (30) days, subject to security logging retention and legal holds where applicable.
9. PAYMENT
9.1 Payments are processed by Stripe.
9.2 Prices are stated in EUR unless otherwise displayed at checkout.
10. LIMITATION OF LIABILITY
10.1 To the maximum extent permitted by applicable law, AI CV Scanner’s aggregate liability arising out of or relating to the Service shall not exceed the amounts paid by the Customer to AI CV Scanner in the twelve (12) months before the event giving rise to liability.
10.2 AI CV Scanner is not liable for hiring decisions, employment outcomes, or disputes between the Customer and candidates.
10.3 Nothing in these Terms limits liability that cannot be limited under applicable law.
11. GOVERNING LAW
These Terms are governed by the laws of Ireland, without regard to conflict-of-law rules.
